Where is the conference?

The 2025 WGSC Conference will convene at the Pyle Center on the University of Wisconsin-Madison campus; all sessions and conference events will be hosted on-site.

Where should I park?

The nearest city lot is the State Street Garage: 430 N. Frances St., Madison, WI 53703

Can children attend the conference?

Children, under the supervision of a caregiver, are welcome to attend the conference. We will have designated family rooms and relaxation spaces equipped with crayons, puzzles, and a few games.

Do presenters need to register for the conference?

Yes, we ask all presenters to register for the conference.

What type of technology is available in each meeting room?

Each concurrent session meeting room is equipped with a projector, audio connection, and a laptop HDMI connection. Presenters using slides and audio can either connect their device directly to the HDMI cable or bring a flash drive to connect with an in-room system.

Presenters who are attending virtually will receive a Zoom link for their session and will communicate with audience and co-panelists with an in-room microphone.

Is there lodging available and nearby hotels?

There are blocks of rooms available at three lodging locations near the Pyle Center. You can find lodging information on the main conference page.

Please note that most of the hotel blocks will be released to the general public beginning March 19, 2025.

When does the general conference start/end?

Registration tables open at 8:30 am on Thursday, April 10, 2025; the first Concurrent Session is at 9:00 am. The conference concludes on Saturday, April 12, 2025 at noon. The full conference schedule will be available in January 2025.

Will there be any COVID guidelines in place for the conference?

Yes, we are taking steps and making recommendations to protect the health of all attendees. The Pyle Center is equipped with MERV-8, hospital grade filtration throughout the facility. We will also have free N95 masks available for all attendees, and we encourage mask wearing for the general health and safety of the community. Additionally, some sessions may be “masks required,” depending on the needs of presenters.

We also plan to offer outdoor dining spaces (weather permitting).

Anyone with COVID symptoms or a recent COVID exposure should not attend the conference.

When is the last day to register?

We do allow same day registration, but please note that early bird registration ends on March 19, 2025. Registering early allows us to plan for space, food, and other conference logistics.

Will some conference events be virtual?

All keynotes and plenaries will be recorded and available on the conference website one week after the event.

While some presenters will present virtually, concurrent sessions will not be available for a virtual audience due to staffing and venue limitations.

Are meals provided during the conference?

There will be a morning break with buffet items and beverages in the AT&T Lounge each morning of the conference from 8:30am-10:30am. Lunch will be provided on Thursday and Friday in designated dining spaces in the Pyle Center for those who registered, as well as outdoor dining spaces (weather permitting).
